Volunteer jobs

*If you need to communicate with other MKW families to find a replacement please request to join this Group Me. Please only use this Group Me to coordinate volunteer shift exchanges. All other team communications will come through the Swimtopia app, e-mails, and some posts to the MKW Facebook page.

This community swim team relies on the participation and support of its families. As part of the registration process, families are required to sign up for volunteer duties. 

This is a list of volunteer job descriptions:

Half Meet Alternates (sign up for 1 shift in signup genius during registration)

  • Meet Alternates: Each family is required to sign up for one Alternate 1/2 meet duty to fill in for any position needed. You may or may not be required to work. The Volunteer Coordinator will notify you AT the meet if we need you to work as an alternate.

Home Meet Extra Duties (sign up for 1 duty in signup genius during registration)

  • Home Meet Extra Duty - Ice Drinks: You will pick up the drinks from the Concession Stand Coordinator prior to meet, you will PURCHASE ICE (a couple bags), then ice the drinks in your OWN cooler. Please label your cooler with your name, also label which beverage type is in the cooler. The drinks MUST BE COLD when you arrive at the meet. Please deliver your cooler(s) of ice drinks to the concession stand no later than 4:30pm on the day of home meet.
  • Home Meet Extra Duty- Snow Cone Ice: Buy 2 Large bags of Ice and place in team's large white cooler by the Snow Cone maker by 4:30pm on the day of home meet.
  • Home Meet Duty - Meet Set-up: The setup crew is a group of volunteers that arrives at the pool by 3:30pm to prepare the pool deck and concession stand area for hosting a meet. Lane ropes are set up, flags are put up, tables are re-arranged on the pool deck to set up the concession area, ribbon table, and starters table. Chairs are set up in the bullpen, etc.
  • Home Meet Extra Duty - Meet Clean-up: Volunteers that stay after the completion of the meet to break down the equipment and necessary items and put it all away. Pick up trash around the pool and on the pool deck. The pool needs to be left in the same condition it was in prior to the start of the meet.

Half Meet Jobs (sign up for 5 jobs in registration system)

  • Bull Pen: Bull Pen workers help coordinate the swimmers to insure that they will be in proper event order and heats.
  • Concession Stand: Sells/prepares food for the hungry swimmers and parents. The profit made from concessions directly support the host team.
  • Concession Stand Runner: The concession stand runner/hospitality worker will work concessions as well as make necessary trips (to Schnucks) to replenish miscellaneous concession items that are needed during the meet (ice, drinks, snacks). This person will park their car at the entrance of the parking lot to facilitate their coming/going during the meet. Will also provide hospitality, delivering water to other workers (timers, stroke judges, ribbon table, bullpen workers) on both teams.
  • Ribbon Table: Responsible for obtaining the timer sheets and DQ slips from the runners, inputting the times and DQs into the computer scoring system, and printing the results throughout the meet to hang on the side of the lifeguard shed for viewing.
  • Runner: The runner is responsible for picking up the timer sheets from the timers and DQ slips from the stroke judges and delivering them to the ribbon table for scoring and picking up the result printouts from the Ribbon Table and hanging them on the side of the lifeguard shed for viewing.
  • Stroke Judge: Stroke judges complete online stroke judge training to become an official prior to the start of the swim meets. During the meet, they observe swimmer starts, strokes and turns and follow the specific guidelines to judge what are "legal" swim moves. If the stroke judge observes something not legal they will disqualify (DQ) the swimmer and indicate why to help the swimmer and coach know what improvements are needed.
  • Timer: The timers make up the largest group of volunteers. In order to commence a meet there must be 2 timers per lane. Timers will time the swimmers in their lanes, write down all times on the timer sheet, and give the completed timer sheet to the runner to be delivered to the ribbon table.
